Creating Accessible PDFs

We need to ensure that all PDFs are accessible for students who use screen readers.


When you have a PPT source file, it's often easiest to start the accessibility process there. Microsoft has a good step-by-step process for this on their support site.


When you're working directly from a PDF, Adobe explains the accessibility process on their help site.


The main things we normally encounter and focus on are:

  • there is a document title
  • primary language (English) is set
  • all images have alt text
  • accessible links
  • the file is tagged


We sometimes cannot control the page (color) contrast. For example, the BGSU orange and white logo often fails this check. Logical reading order is also something that may be flagged; however, upon inspection it may be correct as-is.


If you do make updates to a source PPT file regarding accessibility, please save the file in a sub-folder called "Accessibility" so that we know which files we have modified. You can also place your accessible PDFs in that same folder.
